Introduction

At Swornim Tours & Travel Pvt. Ltd., we understand that travel plans can sometimes change. Our cancellation and refund policy is designed to be clear, fair and transparent for our travelers.

Booking Deposit & Payment

A 30% deposit is generally required to confirm a booking. For certain hotels, flights, permits, special services or peak-season arrangements, a higher deposit may be required.

The remaining balance should normally be paid before the trip begins or upon arrival in Nepal, as agreed at the time of booking. Some services may have their own payment and cancellation conditions.

Cancellation by the Client

If you need to cancel your trip, please inform us as soon as possible.

• More than 30 days before arrival: refund of the amount paid, less the non-refundable deposit and any costs already incurred.
• 15–30 days before arrival: refund according to the cancellation conditions of the services booked.
• Less than 15 days before arrival or no-show: generally no refund.
• Flights, permits, hotels, special activities and third-party services: refunds are subject to the respective supplier policies.

The exact refund amount will be explained clearly before processing the cancellation.

Changes to Your Trip

We will always try to help if you need to change your travel dates, hotel, itinerary or other arrangements. Changes are subject to availability and may involve additional costs from airlines, hotels, transport companies, guides, permits or other service providers.

Cancellation by Swornim Tours & Travel

If Swornim Tours & Travel has to cancel a trip due to reasons within our control, we will provide either an alternative arrangement or a refund of the amount received for the affected services. If cancellation or changes are caused by circumstances beyond our control, the Force Majeure conditions below will apply.

Force Majeure

Travel may be affected by natural disasters, severe weather, strikes, government restrictions, political unrest, road closures, epidemics or other unforeseen events.

We will make every reasonable effort to rearrange the trip or provide alternative arrangements. Any refund will depend on the amounts we are able to recover from airlines, hotels, transport companies, permits, guides and other suppliers.

Flight Delays & Cancellations

Flights in the Himalayan region, including Lukla, Jomsom and other mountain destinations, can be delayed or cancelled because of weather or operational conditions.

We will assist with available alternatives such as rebooking, changing the itinerary, alternative transportation or helicopter arrangements where available. Additional costs will normally be payable by the client unless otherwise agreed in the booking.

Refund Processing

Approved refunds will normally be processed within 15–20 working days after all necessary information and supplier refunds have been received. Refunds will normally be made through the original payment method. Bank charges, payment gateway fees, currency exchange differences and non-refundable third-party costs may be deducted.

Special & Non-Refundable Services

Certain services may be fully or partially non-refundable because arrangements and payments must be made in advance, including:

• Domestic and international flights
• Trekking and climbing permits
• Helicopter flights
• Special events and activities
• Peak-season hotel bookings
• Certain transportation arrangements
• Services provided by third-party suppliers

Where special cancellation conditions apply, we will inform you before confirming your booking.

Travel Insurance

We strongly recommend that all travelers purchase comprehensive travel insurance covering trip cancellation, medical emergencies, flight delays, lost baggage and other unexpected travel situations.
